A UX and workflow improvement project for BP Downstream’s internal Integration Tool. The goal was to reduce duplication of effort, embed business processes, and support the Optimisation system across BP refineries in Europe, North America, and Australia

Challenge
Working for BP Downstream providing UX support to design internal Integration tool to help reduce duplication of effort and support use of, ‘Optimisation system’ for BP Refineries. Existing processes labour intensive with data handling that was inefficient & error prone. BP keen to develop system that would embed business processes, minimise need for user training and be design fit for purpose across all Regions - Europe, North America and Australia. Existing workflows relied on fragmented, labour‑intensive spreadsheets with inefficient, error‑prone data handling. Users needed one interface that standardised inputs, clarified steps, and made reviews predictable across regions
Objective
Understand the end‑to‑end integration flow used weekly by refinery teams. Map user journeys, identify where labels, calculations, and amendments caused confusion, and simplify navigation. Create concepts, sketches, wireframes, and early prototypes that demonstrate clearer data entry and review, and prepare the tool for iterative Agile delivery
Results
Designed global integration tool across BP refineries, improving process efficiency and reducing data duplication
Reduced duplication of effort by unifying spreadsheet‑heavy tasks into a single integration tool
Improved data quality by embedding business processes and clarifying calculations and labels
Increased usability with streamlined workflows designed to minimise training needs
Supported the Optimisation system through clearer inputs and more actionable outputs
Led UX and guided visual design to deliver fit‑for‑purpose screens for Europe, North America, and Australia
Built user personas from user interviews to anchor requirements and validate workflows with real refinery roles
Mapped end‑to‑end user journeys with refinery teams and validated improvements through interviews and testing
Delivered wireframes, Axure prototypes, and annotated flows to accelerate the first Agile release to Rotterdam
